SUMMARY
Use role permissions to control who can perform and approve activities that require electronic signatures. Permissions are determined by the logged-in Factbird account, ensuring approval actions are only available to authorized users.
WHAT THIS IS
- Role permissions determine which electronic signature actions are available to a user.
- While Operator Profiles provide the identity used for signing, the logged-in account determines whether the user can perform activities, approve activities, or both.
WHY IT MATTERS
- Separating permissions from operator identities helps ensure only authorized users can approve activities.
- This supports controlled approval workflows and improves compliance with electronic signature requirements.
WHEN YOU WOULD USE THIS
- Use this when:
- Configuring user access to electronic signatures.
- Determining why approval actions are unavailable.
- Understanding which users can perform or approve activities.
HOW IT WORKS
- Permissions are assigned through user roles.
- Users with Super User permissions can perform activities and approve activities requiring reviewer sign-off.
- Users with the Operator role can perform activities but cannot approve, edit, or reject activities awaiting approval.
KEY TERMS / COMPONENTS
Super User
- A role that can perform and approve activities requiring electronic signatures.
Operator
- A role that can perform activities but cannot complete approval sign-offs.
Approval Sign-Off
- The reviewer signature required to complete an activity configured with approval.
COMMON MISUNDERSTANDINGS
- Selecting a different Operator Profile does not provide additional permissions.
- Approval permissions are based on the logged-in account, not the selected Operator Profile.
- Operators cannot approve activities, even if they can select an Operator Profile.
