How to record maintenance

SUMMARY

Use this guide to create a maintenance plan, complete maintenance work orders, and review maintenance history. Recording maintenance helps ensure recurring maintenance tasks are tracked and provides a complete history of completed work.

WHEN TO USE THIS

Use this guide if:

  • You want to create a maintenance plan for a component.
  • You need to complete a maintenance work order.
  • You want to review completed maintenance activities.

    Note: This is a legacy feature and for a more streamlined approach we recommending using activities

PREREQUISITES

Before starting:

  • You have access to the Preventive Maintenance module.
  • You have permission to create maintenance plans.
  • The component or production line has been configured.

STEPS

  1. Open the Maintenance Plans page
    • Open the Preventive Maintenance module from the left-hand navigation menu.
    • Select the Maintenance Plans tab.
  2. Create a maintenance plan
    • Click New Plan.
    • Enter the required maintenance plan details.
    • Select the appropriate Role.
      • Choose Operator if the work order should be visible on the Register Stops page.
    • Optionally add instructions.
      • The instructions field supports clickable links to guides or other documentation.
  3. Configure the maintenance trigger

    Select the trigger that best matches your maintenance schedule.

    Cycles

    • Use this option to schedule maintenance based on production counts.
    • Select the sensor that should track production.
    • Enter the Target (the number of produced units before maintenance becomes due).
    • Enter a Grace Period (the additional number of units allowed before the work order becomes overdue).

    Example

    • Target: 10,000 units
    • Grace Period: 1,000 units

    The work order becomes due after 10,000 units and overdue if it is not completed before 11,000 units have been produced.

    Calendar

    • Use this option to schedule maintenance on specific days or recurring calendar intervals.

    Elapsed Time

    • Use this option to schedule maintenance after a specified amount of elapsed time.
    • Select which days the timer should be active.
    • Configure the grace period before the work order becomes overdue.

    Click Create to save the maintenance plan.

  4. Review scheduled work orders
    • After the maintenance plan has been created, a work order is automatically scheduled.
    • For cycle-based plans, Factbird estimates the due date using historical production data.
  5. Complete a work order
    • Open the work order.
    • Enter your initials.
    • Add a comment describing the completed maintenance.
    • Save the work order to mark it as completed.
  6. Review the maintenance history
    • Open the component.
    • Select the Maintenance History button.
    • Review previously completed work orders and their recorded details.

EXPECTED RESULT

After completing these steps:

  • A maintenance plan has been created.
  • Maintenance work orders are generated automatically according to the configured trigger.
  • Completed maintenance activities are recorded in the maintenance history.

TROUBLESHOOTING

Issue: A work order has not been created.

Try: Verify the maintenance plan is active.

Try: Confirm the trigger conditions have been configured correctly.

Issue: A work order is overdue.

  • Try: Review the configured grace period.

  • Try: Complete the work order to update the maintenance history.

Issue: The work order is not visible on the Register Stops page.

  • Try: Verify the maintenance plan role is set to Operator.

  • Try: Confirm the work order has become due.
