How to import batches using Excel

SUMMARY

Use this guide to import batch information into Factbird using the Excel Batch Import template. This allows you to create or update multiple batches at once without manually entering each batch in Factbird.

WHEN TO USE THIS

  • Use this guide if:
    • You need to import multiple batches into Factbird.
    • You want to update existing batches using the Excel import template.

Note: This method is reliant on the Excel sheet connecting to Factbird through macros using an API key and, as a result, may not be the most reliable method. We recommend copying and pasting data directly into Factbird.

PREREQUISITES

  • Before starting:
    • Download the latest Batch Import Excel template (located at the bottom of the article).
    • Create a Factbird API key.
    • Enable Excel macros.
    • Ensure all required batch information is available.
    • If using a private cloud, know the name of your private cloud environment.
    • Have the line IDs ready, learn where you can get theses here

STEPS

  1. Download the Batch Import Excel template.
  2. Enable macros when opening the workbook.
  3. Enter your Factbird API key.
  4. Complete the required batch information in the spreadsheet.
  5. Verify that all mandatory fields are completed.
  6. Ensure the Excel selection area includes every batch you want to import.
  7. Upload the batches using the workbook.

EXPECTED RESULT

  • After completing these steps:
    • Valid batches are imported into Factbird.
    • Existing batches with the same batch number are updated.
    • New batch numbers are created as new batches.

TROUBLESHOOTING

Issue: Some or all batches are missing after the upload.

  • Try: Verify that all required fields have been completed.
  • Try: Check that Expected Speed is not higher than Validated Speed.
  • Try: Confirm the workbook selection area includes all rows being imported.
  • Try: If using a private cloud, verify the private cloud name has been entered correctly.

Issue: The workbook reports "The server name or address could not be resolved."

  • Try: Ask your IT administrator to whitelist https://batch-import.factbird.com/.
  • Try: Confirm your network firewall is not blocking the connection.

STILL NEED HELP?

  • Contact Support and include:
    • The completed Excel workbook.
    • Any error message displayed during the upload.
    • Whether you are using a Factbird Cloud or Private Cloud environment.
