SUMMARY
Use this guide to activate or deactivate an operator’s e-signature so you can control whether they are allowed to sign activities.
WHEN TO USE THIS
- Use this guide if:
- An operator leaves the organisation
- An operator changes role
- An operator is temporarily suspended
- You need to restore signing access for an operator
PREREQUISITES
- Before starting:
- You have access to the operator profile
- You have permission to manage operator e-signatures
STEPS
- Open the operator profile
To deactivate an e-signature:
2. Click Deactivate
3. In the confirmation dialog, click Confirm
To activate an e-signature:
4. Click Activate
5. In the confirmation dialog, click Confirm
Viewing the e-signature audit log:
From any operator profile, click Audit Log to open the E-Signature audit log for that operator. It shows every lifecycle event, creation, deactivation, activation, PIN changes, with version number, date, action, and who performed it. Click View on any version to see the full snapshot of the e-signature at that point in time.

EXPECTED RESULT
- After completing these steps:
- The operator status updates to Active or Deactivated
- Deactivated operators cannot sign activities
- Activated operators can sign activities immediately
- The action is recorded in the audit log
TROUBLESHOOTING
- Issue: Cannot change status
- Try: Confirm you have the correct permissions
- Try: Refresh the page and reopen the operator profile
- Issue: Operator still cannot sign after activation
- Try: Ensure the status shows Active
- Try: Ask the operator to retry signing
