SUMMARY
Use this guide to set up an operator’s e-signature so they can securely sign activities, even without a login account.
WHEN TO USE THIS
- Use this guide if:
- You need an operator to sign activities in the system
- You are onboarding a new operator profile
- An operator does not yet have an e-signature configured
PREREQUISITES
- Before starting:
- You have supervisor access to Administration settings
- The operator is physically present to set their PIN
STEPS
- Go to Administration > Operators
- Click + Operator Profile
- Enter the operator’s:
- First name
- Last name
- Employee ID
- Location
- Click Create

- Open the newly created operator profile
- Click Setup E-Signature
- Hand the screen to the operator
- The operator reads the acknowledgement of legal binding
- The operator checks I have read and agree to the terms of electronic signature use
- Click Next
- The operator enters a 6-digit PIN
- Re-enter the PIN to confirm
- Take back the screen
- Set the PIN expiry period (1–24 months, default is 12)
- Review the operator details and validity period
- Check I certify that I have verified the identity of this person
- Click Done

EXPECTED RESULT
- After completing these steps:
- The operator profile is active
- The operator can sign activities using their PIN
- The setup and identity verification are recorded in the audit log
TROUBLESHOOTING
- Issue: Operator cannot complete PIN setup
- Try: Ensure the PIN is exactly 6 digits
- Try: Confirm both PIN entries match
- Issue: E-signature setup not available
- Try: Confirm the operator profile has been created
- Try: Refresh the page and reopen the profile
